Business Mileage Tracking

Overview

The Business Mileage Tracking screen allows you to record all your business-related travel. This information is used to calculate your mileage allowance claims for tax purposes.

Adding a New Mileage Record

  1. Click “Add new” button at the top of the screen
  2. Enter the date of your journey (format: DD/MM/YYYY, DD/MM/YY, or YYYY-MM-DD)
  3. Enter the purpose of travel – describe where you went and why
  4. Enter the miles travelled (decimals allowed, e.g., 15.5)
  5. Select your role:
    • Consultant (default)
    • Team Developer
  6. Click “Save” to record your mileage

Transferring from Your Mileage Tracker Booklet

If you have one of our A5 Mileage Tracker booklets to help you record journeys as they happen, you can simply use this to populate your records.

  1. Gather your completed booklet pages
  2. For each journey in your booklet, click “Add new” and enter:
    • The date of travel
    • The purpose/destination from your notes
    • The total miles recorded
    • Your role (Consultant or Team Developer)
  3. Work through each entry systematically to ensure nothing is missed
  4. Keep your paper booklet as a backup record

Top Tip:

Enter your mileage regularly (weekly or monthly) rather than leaving it all to year-end. This makes the process much quicker and reduces errors!

Deleting Records

To remove a mileage entry:

  1. Find the record in the table
  2. Click “Delete” in the Actions column
  3. Confirm when prompted

Searching Records

Use the search box at the top right to find specific journeys. You can search by:

  • Purpose of travel (e.g., “meeting”, “training”)
  • Date or parts of dates

Tips & Best Practices

Record journeys immediately – Note mileage in your tracker booklet as soon as you travel

Be specific with purpose – Instead of “meeting”, write “team meeting at NewTown Community Centre”

Only business miles – Don’t include personal journeys or normal commuting to your usual place of work. View eligible mileage claims.

Check your odometer – Record actual miles from your vehicle’s reading for accuracy

Transfer regularly – Move data from your paper tracker to the online system monthly

Keep your booklet – Your paper mileage tracker is important backup documentation
