How long is my data held for?

Whilst you’re a member with MalgraBooks, your data is held whilst the relevant subscription, product or service is active.

Your data remains stored for as long as your subscription, product, or service is active. After cancellation or expiration, different data types are retained for specified durations.

Note: External services which MalgraBooks uses (such as our newsletter service, payments partners, etc) may have different timeframes. You can find out details of companies we use here.

MalgraBooks Services

Personal data
(e.g. email, demographics, contact details)
7 years after account cancellation or expiry
Tax return documentation
(including files, forms like P60/P45/P11D, spreadsheets, reports, email correspondence)
7 years following the end of the relevant tax year
Subscription details
(e.g. subscription type, amounts, payment information like masked card details and bank address verification)
7 years after the end of Malgra Limited’s financial year (ending 31 January) in the applicable subscription period

Malgra Free / Malgra Plus Membership

Malgra Free accounts were permanently removed in December 2021—no records remain, as no transactional data was ever held.

Malgra Plus memberships ended in September 2021; these were transitioned to MalgraBooks Essentials in November 2021.

After cancellation or expiry:

  • Personal data: retained for 7 years
  • Malgra Directory listings: removed 30 days post-cancellation
  • Malgra Cloud spreadsheets: removed 30 days later
  • Malgra Store purchase records: kept for 7 years after purchase
  • Subscription details (as above): retained for 7 years after the end of Malgra’s financial year

Other information

  • Helpdesk queries: held for 7 years from the date of contact
  • CRM sales or enquiry data: held for 7 years from the date of contact
