VAT Return Summary

The VAT Return Summary provides a complete overview of your estimated VAT Return for the current quarter. This is the same format that HMRC requires when submitting your VAT return, showing all 9 boxes that need to be completed.
What information does it show?
The report displays:
- Box 1: VAT due on your sales and income
- Box 2: VAT on acquisitions from EU Member States (usually £0.00 for most consultants)
- Box 3: Total VAT due (sum of boxes 1 and 2)
- Box 4: VAT you can reclaim on business expenses
- Box 5: Net VAT to pay or reclaim (the difference between boxes 3 and 4)
- Box 6: Total sales excluding VAT
- Box 7: Total purchases excluding VAT
- Box 8 & 9: EU-related figures (usually £0.00 for most consultants)
How is the data calculated?
The system automatically pulls data from:
- PFS Documents – Your monthly membership fees, rent, and other Slimming World income
- Relief Groups – Income from any relief groups you’ve covered
- Additional Income – Any other income you’ve recorded (shop sales, gift vouchers, additional earnings)
- General Expenses – All business expenses you’ve logged
- Team Developer Income/Expenses – If applicable to your role
All figures are calculated based on the cash accounting scheme with VAT at the standard 20% rate.
What should I do with this report?
- Review the figures – Check that Box 5 (the amount you’ll pay or reclaim) looks correct
- Complete your data entry – Make sure you’ve added all transactions for the quarter
- Contact our team – Once you’re ready, click “Confirm Details” to let us know you’ve finished entering data
- We’ll process your return – Our team will review everything and submit your VAT return to HMRC on your behalf
Important deadlines
Your filing deadline and payment due date are shown in the sidebar. These are typically 1 month and 7 days after the end of your VAT quarter.
VAT Return Breakdown / Detailed Report

The VAT Return Breakdown provides a detailed, line-by-line view of every transaction that makes up your VAT return for the current quarter. While the Summary shows you the totals, this report shows you exactly where those numbers come from.
What information does it show?
The report is divided into two main sections:
Sales (Income)
Shows all income transactions with:
- Date – When the transaction occurred
- Description – What the income was for (e.g., “Overall Membership Fees”, “Shop Sales”, “Gift Voucher”)
- Category – Where the data came from (PFS Document, Additional Income, etc.)
- Box 1 – VAT charged on this transaction
- Box 6 – Net value excluding VAT
- Box 8 – EU dispatches (usually £0.00)
Purchases (Expenses)
Shows all expense transactions with:
- Date – When the expense occurred
- Description – What the expense was for
- Category – The expense category or source
- Box 4 – VAT you can reclaim on this expense
- Box 7 – Net value excluding VAT
- Box 9 – EU acquisitions (usually £0.00)
Why is this report useful?
This detailed breakdown helps you:
- Verify accuracy – See exactly which transactions are included in your VAT return
- Spot errors – Quickly identify any transactions that look incorrect
- Understand your VAT – See how individual transactions contribute to your overall VAT position
- Provide evidence – Have a clear audit trail if HMRC ever requests more information
How to read the totals row
At the top of each table (just below the column headers), you’ll see a green totals row showing the sum of all transactions in that section. These totals feed directly into the VAT Return Summary boxes.
Understanding the box numbers
The numbered badges above each column correspond to the official HMRC VAT return boxes:
- Boxes 1, 6, 8 appear in the Sales table
- Boxes 4, 7, 9 appear in the Purchases table

What data is included?
The report includes:
Sales:
- Monthly PFS Documents (membership fees, rent, retained earnings, stock commission)
- Relief Group records
- Additional income entries
- Gift voucher sales
- Shop sales
- Team Developer income (if applicable)
Purchases:
- PFS expenses (rent, Nett Fees A, payments to Slimming World, sundries)
- Relief Group expenses
- General business expenses
- Team Developer expenses (if applicable)
What should I do with this report?
- Review all transactions – Check that everything listed is correct and nothing is missing
- Check VAT treatment – Verify that VAT has been calculated correctly (most items are standard 20%, but some shop sales may be zero-rated)
- Add any missing entries – Use the main ledgers to add any transactions you’ve forgotten
- Contact us with queries – If you spot any errors or have questions, get in touch before we submit your return

- Scheme: Standard VAT scheme
- Calculation Basis: Cash accounting
- VAT Rate: Primarily 20% standard rate (some exceptions for zero-rated books)
