PFS Document Data Entry

The PFS Document data entry screen is where your income from group fees, along with rent and payments to Slimming World are entered.

You’ll need to also have available your monthly PFS Document from Our World. You can sometimes access this page by clicking here.

Managing your groups

You can add up to 8 permanent groups through the online system, and these are usually the groups where you have monthly PFS Documents issued.

To add a group, click the ‘Manage Groups’ button on the PFS Screen

A popup will appear asking for your group information, such as the group number (a 6 digit code at the top of your PFS Document) and the name.

Once entered, click the ‘add’ button at the bottom of the screen.

The group will now be added to the system, and the PFS Screen will update. Click the ‘close’ button to continue.

Manually add new group data

To add monthly data for your group, click the relevant shaded area for the month and group you wish to enter. A popup will appear.

Here, you can manually add information from your monthly PFS Document. The Rent, Nett Fees A, Retained Earnings and Stock Commission are found on the final column of your document, totalled for the relevant month.

Sundries can be entered for the XPW weekly maintenance fee. This is usually a value between 0 and 5. No other values are permitted in this box.

Sundries traditionally included only the weekly XPW fee value, and as such are treated as an expense.

Pulse will look for a value between 0 and 5 (depending on the number of weeks per month) for the XPW Fee Value.

On occasion, Slimming World may include other items into the sundries section, such as payments to and from Slimming World – this casues the sundries field to become a calculation.

Where the value is not between 0 – 5, you’ll need to find out what the actual values are which have been used to get to the calculation.

Automatic PFS Document Upload

The document must be downloaded as a PDF Document from your browser to use the upload tool. You can find instructions on how to download the PFS Document here.

Once you’ve downloaded the pdf file, click the relevant month for your group and click the upload button.

If the format is correct, the fields will be populated accordingly. You can see an example in the video below.

Whilst the PFS Document Upload Tool will try and run its magic, it doesn’t always complete this correctly due to the way different computers interpret and process data. Always double-check the figures which are pulled from the document before saving.

In some occasions, the system will not be able to populate the values.

  • Check that you have downloaded the correct record from your Our World system
  • Ensure the right group and month is showing
  • The document needs to be a readable PDF document
  • The sundries value includes figures which are not the weekly XPW Fee (see here

How it should look when populated

Below is an example of several months which have been populated automatically.

The relevant months with a green background are populated with figures from the PFS Document record.
